Your responsibilities:
- To manage all incoming emails in the install inbox
- Take mechanical enquiries from incoming calls/e-mails/To-Do’s and from customers and technicians/engineers where appropriate
- To contact customers where appropriate to understand their needs
- Prepare the mechanical gate meeting spreadsheet
- Checking & preparing the mechanical quotations for sending to the customer and ensuring the job task lines are updated accordingly
- Ensuring that all outstanding mechanical quotes have the quote chase To-Do raised
- Allocate enquiries to Project Manager/technicians where appropriate
- Enter new jobs onto Microsoft Dynamics Nav
- Ensuring that the planning job queue is maintained by liaising with project managers for updates on when the quotation will be ready to be sent and the expected ending dates
- To assist the project coordination team
- To provide annual leave cover for the project coordination team in terms of raising purchase orders for project managers
- To complete the departments KPIs and To-Do spreadsheet
- Reporting to Service Director, and Service Managers when we have service technicians working on project jobs
- Carrying out document control for project managers on customer/contractor portals
- To engage fully with any appraisal/ feedback system the company has to offer
- To be an integral part of the projects team in its day-to-day activities and future development
- Ensure complaints and queries are dealt with in a timely manner
- Raise purchase orders and ensure supplier orders are processed on time
